Comment & Reply Templates for Jira
Reusable comment and reply templates for Jira Software, business and service projects. Pick a template, edit it and post it as yourself.
Get started
- Install the app from the Atlassian Marketplace.
- Go to Settings > Apps > Comment templates (Jira administrators only).
- Select Create template, give it a name and text, choose projects and work types, and select Save.
- Open a work item. In the Activity section, select the Templates tab, pick a template, edit the text if needed and select Post.
Templates
A template has:
- Name – up to 100 characters.
- Projects – leave empty for all projects except service projects. Select service projects to use a template there.
- Work types – leave empty for all work types.
- Default in service projects – Internal note or Reply to customer. Internal note is the safe default.
- Text – formatted text, with variables.
On the admin page you can also preview, duplicate and delete templates. Deleting a template doesn't change comments that were already posted.
Everyone who can use Jira can read templates. Don't put confidential information in them.
Variables
| Variable | Filled in with |
|---|---|
| {{issueKey}} | The work item key |
| {{summary}} | The work item summary |
| {{project}} | The project name |
| {{issueType}} | The work type |
| {{reporter}} | The reporter's name |
| {{assignee}} | The assignee's name, or "Unassigned" |
| {{today}} | Today's date (YYYY-MM-DD) |
Any other {{…}} placeholder stays in the text, and Post is blocked until you replace it. Use this for things only the person replying knows, such as {{customer name}}.
Posting a comment
- The comment is posted by the person who selects Post, with their own Jira permissions. The app never comments as itself.
- Edit the text as much as you like before posting. The template itself stays unchanged.
- The comment appears in the Comments tab like any other comment.
Service projects (Jira Service Management)
- Only templates that name the service project are shown there. Templates for all projects are not, so internal text can't reach customers by accident.
- Every template starts as an Internal note, unless the administrator set it to Reply to customer.
- You can switch between Internal note and Reply to customer before posting. When the comment goes to the customer, the button says Reply to customer.
Good to know
- Atlassian doesn't let apps write into Jira's own comment box. That's why the templates have their own tab, and no browser extension is needed.
- Templates are stored in Atlassian's Forge hosted storage. Uninstalling the app deletes the templates. Comments already posted stay on the work items.
Privacy and security
Comment & Reply Templates uses 3 scopes: read work, write work and app storage. It has no admin scopes, sends no data outside Atlassian and stores no personal data. See our privacy policy: https://www.helkrypt.no/privacy/apps.
Support
Email support@helkrypt.no. Please include your Jira site URL and the key of the work item where something didn't work as expected. Don't send work item content.
FAQ
Why isn't the template inside the normal comment box?
Atlassian doesn't let Forge apps write into Jira's own comment editor. Other apps solve this with a browser extension. Comment & Reply Templates uses its own tab in the Activity section instead, so nothing has to be installed in the browser.
Who is shown as the author?
The person who clicks Post. The app never comments as itself, and it can only post where that person is allowed to comment.
Can customers see the comment?
Only in service projects, and only if you choose Reply to customer. Every template starts as an internal note unless the administrator set it to Reply to customer, and you can switch before posting.
Why don't templates for all projects show up in my service project?
To avoid internal text reaching customers by accident, service projects only get templates that name the project.
Who can see the templates?
Everyone who can use Jira can read them, so don't put confidential information in a template. Only Jira administrators can create, change or delete them.
Where are my templates stored?
In Atlassian's Forge hosted storage for your site. Nothing is sent outside Atlassian. Uninstalling the app deletes the templates. Comments you posted stay on the work items.
